Speed to Lead: Why the First Response Shapes the Whole Conversation.

Most franchise buyers contact only one or two brands, and many won't answer a call from an unknown number. Here is how to make the first response count.

Why speed matters so much

When a buyer submits an inquiry, they are at their most engaged. They have just finished reading about your concept, and the questions are fresh. Most of them are also not shopping widely: Franchise Insights data shows that about 63% of franchise inquirers contact only one or two brands (Franchise Insights, 2026 (opens in a new tab)). The first brand to respond well often becomes the brand the buyer pursues.

Calling first often fails

The instinct is to pick up the phone immediately. But many buyers will not answer. Phones increasingly screen or silence unknown callers, and buyers have learned to be cautious. In Franchise Insights surveys from January to May 2026, 47.1% of respondents said they were unlikely or very unlikely to accept a phone call from a franchise if they had not first received an email or text from that company (Franchise Insights, 2026 (opens in a new tab)).

What buyers say they prefer

The same research shows that preferences vary. More than 38% of prospects preferred a phone call as the first contact, while 32% preferred email. Text was the clear second choice for 52% of respondents. Based on these preferences, Franchise Insights recommends a simple sequence: an introductory email, followed by a phone call, then a follow-up text to set a time to talk.

A practical first-response playbook

  1. Respond immediately with an email. Thank the buyer, confirm what they asked about, and tell them who will be in touch and how.
  2. Ask them to save your number. A single line in that email, inviting them to add your number to their contacts, helps your call get through.
  3. Call promptly. With the email already in their inbox, your call is expected rather than unknown.
  4. Follow up by text. If the call is missed, a short text offering a few times to talk keeps the momentum.
  5. Move them into nurture if the timing isn’t right. Not every buyer is ready now, and that’s fine, as long as they aren’t forgotten.

Make speed automatic

Inquiries do not arrive on a schedule. Many come in the evening or on weekends, when development teams are offline. Automated workflows can send the first email immediately, answer common questions, and offer a calendar link to book a call, so every buyer receives a prompt, professional response regardless of the hour. The team then steps in for the conversation that matters most.

The bottom line

The first response is not a formality. It decides whether a buyer who contacted only one or two brands keeps talking to you. Respond quickly, in the order buyers prefer, and let automation cover the hours your team cannot.
